FlexNet Manager Suite 2020 R1 (On-Premises)

On the General tab, you can enter, or edit if applicable, personal, employment, and other information associated with a user.

Column Details
Account name
Enter the user's name that is used to login to the system.
Tip: To maintain consistency during the inventory import and license calculations, do not create duplicate account names.

Note that the inventory-gathering process might fail to return the user's account name, and in that case it will be blank.

Domain name

The domain a user's account belongs to.

Enter a domain name, click Search, select a domain that you need, and then click Add domain name.
Tip: You can add only one domain to each user account. You cannot type in and add a new domain to the list of available domain names.
Employee ID

Enter the ID of the employee.

Employment status

The type of employment with an enterprise (Employee, Casual, and so on) that a user is involved in. If this list does not include the option that you need, you can customize it: for details, see Customizing a Drop-Down List in the FlexNet Manager Suite System Reference PDF, available through the title page of online help.

Select the user's employment status.

First name

Enter the user's first name.

Full name
If blank, the Full name field is filled out automatically when you enter the first, middle, and last names. Note that you can modify the user's full name, for example, to exclude a middle name or patronymic.
Tip: The Full name field may display an email address. This happens if the user was imported through the Flexera SaaS Manager adapter as a known user of SaaS applications (other than Microsoft 365).
Job title

Enter the user's job title.

Last inventory source

If a user account is added by the automatic inventory process during inventory import, the name of an inventory tool is displayed. Note that this value can be blank if a user record was imported with a business importer or some other process external to inventory collection. The Manual inventory source is displayed when a user record was added or updated manually.

Last name

Enter the user's surname.

Manager

Enter the name of an employee managing the user. Alternatively, if a manager is also a user listed within the system, type in their first and last names, click Search, select the search result that you need, and click Add manager.

Middle name

The middle name of a user, if any (for example, a patronymic).

Status

Use this setting to track the user's current operational status within the enterprise. Changes from the default must be made manually.

Select an option from the list:
  • Active — an employee involved in work as normal (this is the default)
  • Inactive — an employee who is not using a computer
  • Retired — a person who is no longer employed by the company (the device[s] associated with this user may be reallocated to another user, or the relevant software may be uninstalled so that existing license entitlements can be recovered)
  • On leave — users on vacation, personal leave, and the like
  • Pending — accounts that have been set up for a new hire who has not yet started work in the enterprise.
Setting a user to either Inactive or Retired prevents that user working as an operator in FlexNet Manager Suite; and you cannot create a new operator account from a user with either of these status values.
Tip: When you select Retired, a warning dialog appears if this user is linked to resources (such as assets or inventory devices), or has been assigned particular responsibilities. In this case, it is best practice to cancel the change, and first transfer the resources and responsibilities.
Important: Setting a user's status to Inactive or Retired does not prevent license consumption, even from user-based license types. Instead, from the next license reconciliation (by default, overnight), the calculations are identical to those for an unknown user. This means that each device linked to this user falls back to consuming a single entitlement. If the user has multiple linked devices, simply changing the status to Inactive or Retired may result in an increase in consumption from user-based licenses at the next license reconciliation – whereas the user when Active consumed a single entitlement covering all her devices, now each device linked to the Retired user and reporting the same installed software consumes a separate entitlement, so that (for instance) a laptop and desktop computer linked to the same user license for the same user now consume two entitlements rather than the previous one. This underlines the importance of reassigning devices before changing the user status value.
Suffix

Additional information about the user's name, for example, Jr., Sr., and so on.

Select a suffix from the list.

Title

Sometimes also called the “honorific”, a title can be part of a user name. If the Title list does not include the option that you need, you can customize it: for details, see Customizable Drop-Down Lists in the FlexNet Manager Suite System Reference PDF, available through the title page of online help.
