IT Asset Management Organization Data FAQs

Organizations with Flexera One’s SaaS and IT Visibility capabilities can use IT Asset Management’s organizational data as the source for their Human Resources (HR) Roster. Flexera One has an internal system called an Organizational Data Store (ODS) that maintains the source of truth between of organizational data systems.

The following table provides answers to frequently asked questions regarding IT Asset Management’s organizational data.

How do I enable IT Asset Management organizational data for my HR Roster?

If your organization has compliance users in IT Asset Management, open a case with Flexera Support in the Customer Community to set up IT Asset Management as the source for your HR Roster.

What IT Asset Management organizational data can be requested for an HR Roster?

The following data can be requested:

Unique ID
Created Date
Email
First Name
Last Name
Department
Location

Note:The availability of data for these fields may vary by organization.

Important:Any HR Roster changes in Flexera One’s SaaS capability will not be synced with IT Asset Management organizational data.

How often is the IT Asset Management organizational data updated?

Organizational data is synced once every 48 hours.

Does the UniqueID map to the Account name in the All IT Asset Users screen?

No, the UniqueID is generated by the Organizational Data Store. The UniqueID is not equal to the Account name. However, the Organizational Data Store knows how to correlate the UniqueID to the Account name.

For All IT Asset Users, does the Created Date map to the Creation Date?

Yes.

I see Department and Location data that is requested, but I do not see Employee Type. Which field does Employee Type map to in All IT Asset Users?

We do not use the employment status (such as employee or contractor) data that is sent by the Organizational Data Store. We use Location and Department.

The Employment status data that appears in the All IT Asset Users page is data that is typically imported from a business adapter, although can be imported manually using a CSV file. When user data is imported from IT Asset Management via the Organizational Data Store, the employment status data is ignored.

How does this sync process handle employees who are no longer active in IT Asset Management to map their employee status in SaaS Management?

Currently, SaaS Management is not receiving a deactivation status from the Organizational Data Store. SaaS Management is capable of handling such an event, but the deactivation functionality is planned for a future ODS release. For now, SaaS Management shows users as active.

What happens when a user has multiple emails defined in the Email and Alternate Email fields of the All IT Asset Users screen?

One primary email is chosen for each user. All other emails are considered aliases. The primary email and the aliases all point to the same user record. Therefore, a user can have multiple emails, but the user is counted only once.
