Sharing a Custom Report
Note:
Important:The Manage custom reports role is generally required to share custom reports. Users without this role do not have access to custom reports by default; however, they can be granted access to specific reports through the custom report sharing process. (See details below.) For complete descriptions of each role available in Flexera One, see Flexera One Roles.
You can share your reports with other Flexera One users and groups in your organization. The main method to share a report is to click the Share button when viewing or editing the report.
The Share button is available when you are viewing or editing a report. It appears in the upper-right corner of the report’s page and shows a menu from which you can choose to share the report (Manage Access) or simply copy its URL (Copy to Clipboard).
You can click the Share button on a report’s page, and then use the controls in its menu to share the report with users or groups you designate. However, you can also quickly share the report’s URL with other Flexera One users you know are assigned a role necessary to see the report (Manage custom reports). Another potential shortcut is to share a report directly from the Dashboards page. For details on these methods, see the sections below:

Sharing a Report from its Report Page
Follow the steps below to share a custom report with another Flexera One user in your organization.
Note:As part of this sharing method, you can designate Flexera One users who do not have access to custom reports by default. When you designate users with whom you want to share the report, you also identify whether they should have view-only or edit access to the current report.
To share a custom report:
1. | Go to the Dashboards page from one of the following menus: |
• | Dashboards > Technology Intelligence Reports > Custom Reports |
• | IT Visibility > Technology Intelligence Reports > Custom Reports |
By default, reports are grouped by type, such as Hardware, Software, and Vulnerabilities.
2. | Click the expand icon next to the group type to view the list of reports. |
3. | Click the name of the report you want to share. |
The selected report opens.
4. | To share your report with other users or groups, click the Share button (pictured below), and then choose Manage Access: |
5. | To add a user, click Add User. |
Note:If a user with whom you want to share the report appears in the Added Users tab, and you want to change their access level, click the following button next to the user name. The Manage Roles dialog box appears. Change the role and click Save.
6. | Next, select the users with whom you want to share the report, set their access level (Viewer or Editor). |
• | Viewer—permits the designated users or groups to see and interact with the report, but prevents them from editing, re-sharing, or changing the details of the report. |
• | Editor—permits the designated users or groups to see, edit, re-share, and change the details of the report. |
7. | Click Add User. |
Flexera One makes the shared report available to the users you designate. The users with whom you shared the report can find the report by navigating to the Dashboards page (Dashboards > Technology Intelligence Reports > Custom Reports or IT Visibility > Technology Intelligence Reports > Custom Reports).
Shortcut: Sharing a Report from the Dashboards Page
On the Dashboards page, click the Action menu for the report you want to share and then click Share. Next, click Add User, select the user or group with whom you want to share the report, set their access level to either Viewer or Editor, and click Add User.
Note:As part of this sharing method, you can designate Flexera One users who do not ordinarily view or edit reports. When you designate users with whom you want to share the report, you also identify whether they should have view-only or edit access to the current report.

Shortcut: Sharing a Custom Report’s URL
If you want to quickly share a report with another Flexera One user in your organization who already has access to a report—inherited from their Flexera One organizational roles or acquired via the report being previously shared with them—you can use the Copy to Clipboard icon to quickly copy the report’s URL so you can paste it into a text, email, or document.
To share a custom report URL:
1. | Go to the Dashboards page from one of the following menus: |
• | Dashboards > Technology Intelligence Reports > Custom Reports |
• | IT Visibility > Technology Intelligence Reports > Custom Reports |
By default, reports are grouped by type, such as Hardware, Software, and Vulnerabilities.
2. | Click the expand icon next to the group type to view the list of reports. |
3. | Click the name of the report you want to share. |
The selected report opens.
4. | To share a direct link to your report with other users or groups, click the Share button (pictured below), and then choose Copy to Clipboard: |
The report link is copied to your clipboard and you can now paste it into an email, a text message, or anywhere else where you would like to paste the link.
