Applications Tab for ServiceNow Licensing
The Applications tab includes the following features for the applications in your ServiceNow account:

Application action data based on your selected time period of 3, 6, 12, and 24 months |

Application user assignment |
|
•
|
List of all custom applications being developed on the managed app ServiceNow instance |

•
|
List of all ServiceNow subscription applications that have one or more roles associated with them. |
Note:Consider the following:
|

When the Sub Application Accesses integration task is first run, it only pulls activity data for the current month. The activity events are created with an occurred date of the day the task initially pulled the data, which is displayed as the Last Activity date. For example, if the Sub Application Accesses integration task is first run on December 15, 2023, the activity data is pulled from December 1-15, 2023, and the Last Activity date displayed is December 15, 2023. |

When new activity data is available, it may take up to one hour to display the data in SaaS Management. |
|
•
|
SaaS Management does not display ServiceNow OOTB subscription applications that do not have any roles associated with them. |
This information helps you better understand user contribution and usage pattern for ServiceNow OOTB and custom applications. Low user contributions and usage patterns may identify potential cost savings and opportunities where increased application adoption is needed.
The following table describes the features at the top of the Applications tab.

Show Actions Data For
|
Select the appropriate date range of the last 3, 6, 12, or 24 months to show how the data is aggregated on the Applications tab. Three months is the default date range.
Important:The date range you select affects almost all the widgets on the Applications tab.
|
Time Period
|
Displays the exact dates that are within the data range selected in the Show Actions Data For dropdown list. This time period is also displayed in the Actions Count Over Time bar chart.
|
Search Box
|
Filters the ServiceNow OOTB and custom applications listed underneath the search box.
|
Applications List Card
|
Displays the total count and a list of all the OOTB applications that are linked to a ServiceNow subscription, which are associated with one or more roles and custom applications. The following information is provided for each application:

Total action counts for access, edit, and fulfillment based on the selected date range |
|
•
|
An pill on the right side indicating whether the application is a ServiceNow out-of-the-box (OOTB) or custom application (Custom). |

Total Action Count Tile
|
Based on the selected application and date range, the following information displays at the top of the Applications tab:
|

|
Total Access is the sum of the access action counts for the application. |
|
•
|
Total Edit is the sum of the following application editing actions: |
|
•
|
Total Fulfillment is the sum of the fulfillment action counts for the application. |
|
•
|
Related Licenses displays the number of ServiceNow user licenses associated with the application. Clicking the number opens the Related Licenses slideout, which lists the names of the related licenses and the total number of assigned users for each license. |
|
The selected application and the date range affect the widget data underneath the total action count tile. Data from these widgets help identify the date when users last accessed a specific application and the actions users performed within the application. The following table describes these widgets in further detail.

Users Count and Actions Count
|
Displays a color-coded bar chart for the application’s associated actions based on the number of actions performed by users. Hover over the bar to reveal a popover that provides a user count for each action number category and the total number of users that performed the action.
Low user counts for a specific application action may identify potential cost savings and opportunities where increased application adoption is needed.

Actions Count Over Time
|
Displays a color-coded bar chart that breaks down the Total Access, Total Edit, and Total Fulfillment tile counts by month.
Hover over the bar to reveal a popover that lists:

Total actions for that month |
|
•
|
Monthly actions count for Access, Edit, and Fulfillment. |
Note:The actions count is based on the events that occurred within the displayed time period that was selected from the Show Actions Data For dropdown list. Based on the time period, it is possible that only a partial month’s worth of data displays.

Users’ Actions Count
|
Displays the action count for each user accessing as well as assigned to the application.
Note:It may be possible for some users without relevant roles to access the application based on your ServiceNow configuration.
This table includes the following columns for each user:

User ID—Clicking this link opens a slideout that displays the Last Action Date of each Action type performed by the selected user. |
|

|
Last Activity—This activity date is the same date displayed in the Users tab. |
|
