Previewing License Rule Results

IT Asset Management (Cloud)

You can preview the results of individual rules. This enables you to make adjustments to the rule, if necessary, before applying it.

To preview license rule results:

  1. In IT Asset Management, go to the License Assignment Rules page (Licenses > SAP Optimization > License Assignment Rules). Choose a system landscape and click on it.
    The License Assignment Rules: system landscape name page is displayed.
  2. If you want to switch to a different landscape, click Change Landscape in the top-right corner of the page.
  3. On the License Assignment Rules: system landscape name page, double-click the rule set that contains the rule that you want to preview.
  4. The License Assignment Rule Set: rule set name page opens. In the Rules section, double-click the rule for which you want to preview results.
  5. In the Preview Results section, click Show license recommendations.

The rule results preview is based on the consumption data of the previous month and provides the following information (you can modify which columns are displayed using Advanced > Choose Fields).

Column Name

Description
Matched

A green check mark indicates that the conditions of the rule have been met.
User Name

The User ID of the user on the system on which the rule was run.
First Name

The first name of the user on the system on which the rule was run.
Last Name

The last name of the user on the system on which the rule was run.
Result Reason

Gives details which rule produced the result.
Accounting Number

The user’s accounting number.
Change Required

Yes indicates that a change of license type is recommended; No indicates that there is no recommendation to change the license type.
Client ID

The client ID of the system on which the rule was run.
Days Since Last Logon

The number of days since the user last logged on to the SAP system.
Developer
Indicates whether the user currently has a developer license.
Note: This field is currently not supported for S/4HANA systems.
Email Address

The email address of the user on the system on which the rule was run.
Extension

The user’s phone extension.
Inventory Date

The date of the last inventory.
Last Logon Date

The date when the user last logged on to the SAP system.
License Type (Current) The license type that is currently assigned to the user on the system.
License Type (Recommended)

The license type that is recommended for the user.
Locked User

Displays a check mark if the user is currently locked.
Phone Number

The user’s phone number.
Production User

Displays a check mark if the user is a production user.
System ID

The three-character ID of the system on which the rule was run.
System Type

Specifies whether the system is an SAP system or a non-SAP system.
User Creation Date

The date when the user was created on the SAP system.
User Group The group that the user belongs to.
User Type

The user type of the user.
