Obtaining the Template

The system-provided default template for assignments lets you quickly link users to a location, a cost center, and a corporate unit, and keep the data updated.

FlexNet Manager Suite provides a template spreadsheet (or CSV file) where you can assign users to enterprise groups.

To locate the template:

  1. Search for the Data Imports page.
  2. In the Business Data tab, click One-off upload.
  3. Expand the User assignment upload group (click its title, or click Expand all).
  4. To obtain the template, next to Download user assignment templates:, click the xlsx or csv link. The template is downloaded from the serveur d’applications to your local computer.
  5. Populate the data and upload the template.

Completing the Dataset

Please note the following:

  • This import is working with end users of the computer systems identified through discovery and inventory. Operators using FlexNet Manager Suite are not directly affected (although may be updated if they are also recorded as users within the system).
  • Each row of the spreadsheet must correctly identify one user already recorded in the system. Importing this spreadsheet does not create user records. (It is common for user records to be imported from Active Directory or similar.)
  • You may identify each user using one or more of their full name, employee number, or email address, as already recorded in the database. As long as you have at least one of these values (with others left blank), the user can be identified. However, notice that if you use more than one of these columns, each one you use must exactly match the record already existing in your database. For example, if you entered the correct full name, but the wrong email address, then this row is disqualified and the assignments described in it are not made.
  • You may assign each user to one of each type of enterprise group (location, cost center, and corporate unit) in a single row of the spreadsheet. Keep the group types distinct in their appropriate columns.
  • Any additional worksheets within the spreadsheet are ignored during import. However, you must not change the name of, or remove, the User Assignment worksheet supplied in the template.

Uploading the Data

Notice that once the Last import section's Status is changed to Commenced, the status value is not changed until you refresh this page (or navigate elsewhere and return here). IT Asset Management displays the upload status of the last five uploads. For more information on upload status, see Business Data Tab. Columns

The following notes on the columns in this template may assist you in completing the appropriate data. Each row in the spreadsheet assigns a single user to 1-3 groups within your enterprise.
Important : The first row, containing the column headers, must be preserved for upload. Do not rename any columns.

Use of this field is optional (the user may be identified by any one of User Name, Employee number, or Email). If this field is not empty, and does not match the user identified by the other fields, the row is disqualified and not processed.

Employee number 13-56-821

The identifying code for the user, usually obtained from the HR system. Must match the Employee ID field in the General tab of the user properties.

Use of this field is optional (the user may be identified by any one of User Name, Employee number, or Email). If this field is not empty, and does not match the user identified by the other fields, the row is disqualified and not processed.

Email ssmart@example.com The email address for the user, matching the Email field in the Details tab of the user properties.

Domain sh.thc.example.com

The networking domain in which this user is reported in inventory, matching the Domain name field in the General tab of the user properties. Use of this field is optional. You may use either the domain flat name (myCorp) or the fully qualified domain name (myCorp.com).

Alone, it is not sufficient (clearly) to identify the user; but it can be useful for distinguishing two user records with the same name from different domains.

Notice that if this value is present and does not match the existing record for any user identified by one (or more) of the previous three fields, this input row is disqualified and the assignments to enterprise groups are not performed.

Location, Cost Center, and Corporate Unit 0000-2/0289-1
Identify (at most) one of each type of group to which this user should be linked.
  • For each type of enterprise group, you only need to specify sufficient to uniquely identify the target. For example, if all your location names are unique in the enterprise, you can specify just the lowest node, such as Melbourne. However, if not all names are unique, include a parent (upward as far as necessary), separated by the forward slash character, to get a unique identify (for example, Florida/Melbourne or Victoria/Melbourne). Matching is case-insensitive.
  • If any group names included in this spreadsheet do not match an existing record, a new record is created. This is repeated to as many levels as required. A new group name with no parent specified is attached at the root (highest) level for this group type. For example, if the two cost (or profit) center codes in the sample value at left do not exist prior to this import, the group 0000-2 is created at the root level, and the cost center 0289-1 is added as its child.
  • Group names must not include the forward slash character.
  • Any previous assignments to enterprise groups for each affected user is updated (over-written) by the import.
