License Contract Expiry

This page lists licenses that may be affected by contract changes. These licenses are linked to contracts that are in flux, and you may need to review whether the licenses need attention.

Only license properties are displayed: to see the relevant contract that causes the license to appear here, click through to the properties of the license, and select its Contracts tab. You can click through from there to examine the properties of the contract.

Because of the complexities of individual contracts and their possible effects on licenses, each relationship requires individual attention from a human. There is no automation related to expiring contracts.

To attend to these issues, drill through to the contract properties and update the contract dates to reflect your latest renewals. If you will not be renewing the contract, consider changing its status. Licenses linked to expired contracts continue to appear in this list until you change the status of the contract to Archived. If the contract is lapsing, be sure to review the license properties to ensure that these reflect the changed legal standing when the contract no longer applies.

Tip:Your access rights may limit your ability to see some licenses. This listing shows licenses that you are entitled to see, and that may be affected by changes in related contracts.

Changing the Period Under Review

In the top left corner is a standard filter labeled Expiring within the next. From the adjacent drop-down list, select your preferred period. You can also display Overdue contracts that have already passed their expiry date.

Tip:You may want to remove licenses from the list if their related contracts have expired a long time in the past and you do not have plans to renew the contract. You may:

Use the Contracts tab of the license properties to break the link between the old contract and the license. This may affect your ability to audit the list of licenses that were ever linked to the contract, as you would need to inspect the history tabs of licenses or the contract to see past relationships.
Use the General tab of the contract properties to change the status of the contract to Archived. Archived contracts do not trigger a license to appear in this list of licenses affected by contract expiry; but the link between contract and license is visible in the properties of both.

Note:Most lists in IT Asset Management only show a selection of the properties in the underlying database. Some columns are displayed by default and others can be displayed using the column chooser control, including any custom properties that you have added.
