Creating a Shared Report Subscription

Note: If you have already been upgraded to Technology Intelligence Platform, information in this section is applicable to you. With Technology Intelligence Platform, out-of-the-box IT Visibility dashboards are being replaced with new, enhanced IT Visibility Technology Intelligence Platform reports.

Important:The Manage custom reports role is required to create a shared report subscription. For complete descriptions of each role available in Flexera One, see Flexera One Roles.

You can create a shared report subscription for a custom report when you want to share the report with multiple users or groups via email at a set frequency. You can only add users with either the Viewer or Editor access level to the report as recipients.

To create a shared report subscription:

1. Go to the Dashboards page from one of the following menus:
Dashboards > Technology Intelligence Reports > Custom Reports
IT Visibility > Technology Intelligence Reports > Custom Reports

By default, reports are grouped by type, such as Hardware, Software, and Vulnerabilities.

2. Click the expand icon next to the group type to view the list of reports.
3. Click the name of the report you want to create a shared subscription for.

The selected report opens.

4. Click the Bell icon in the upper-right corner of the page. The Report Subscriptions slideout opens with the Private Subscriptions tab selected by default.

5. Click the Shared Subscriptions tab. A list of shared report subscriptions appears.
6. Click Create a new shared subscription.
7. In the Subscription Name field, enter the name of the subscription.
8. From the Report Page dropdown list, select the name of the report page that you want to include in the subscription.

Note:You can either select All Pages or a particular page of the report

9. From the Recipients dropdown list, select the user or the group you want to add as recipient of this report.

Note:Only users with either the Viewer or Editor access level to the report can be added as recipients. For information on how to grant access to the report, see Sharing a Report from its Report Page or Shortcut: Sharing a Report from the Dashboards Page.

10. From the Frequency dropdown list, select how often you want to send the email notifications.
11. If you select the Frequency as Weekly or Monthly, from the Send notifications on dropdown list, select the day of the week or the date of the month when you want to send the notifications.
12. From the Scheduled Time dropdown list, select the time at which you want to send the email notifications.
13. Click Save. The subscription appears with an Enabled status. Users will receive an email with the report attached as a PDF at the scheduled frequency. The email also includes a link to the report. Clicking the View full report link directs them to the custom report in Flexera One.

Note:After the subscription is saved, you can manage it by customizing the email content, enabling or disabling the subscription, updating its details, and deleting it. For more details, see Managing a Shared Report Subscription.
