Working With the Private Catalog

Important:IT Visibility export version 3 or IT Visibility with Technology Intelligence Platform is required to use the Private Catalog. For more information about what version of export you are using, see Versions of the IT Visibility Export Feature.

In IT Visibility, you can use the Private Catalog to manage software that is not part of the global Technopedia catalog; for example, in-house software, custom third-party software, and software that is inappropriate or of too low priority to be included in the global Technopedia catalog.

Important:To use the Private Catalog functionality, you need to have the View & Create Insights role.

Creating a Release in the Private Catalog

In Flexera One, there are four pages from which you can create a release in the Private Catalog. Because the procedures slightly differ depending on what page you are on, the following instructions are provided.

Creating a Release in the Private Catalog from the Software Evidence Page or Private Catalog Evidence Page

You can create a custom release from the evidence information collected as a part of the inventory collection process.

To create a custom release in the Private Catalog:

1. Go to one of the following pages:
Software Evidence page (Applications & Evidence > IT Visibility Software > Software Evidence).
Private Catalog Evidence page (Applications & Evidence > IT Visibility Software > Private Catalog Evidence).
2. Click any evidence name. The <Software> Evidence Detail page opens.
3. On the <Software> Evidence Detail page, go to the Mapping tab, find the Private Mapping Configuration section, and click Add Mapping (or Change Mapping if a mapping already exists). The Choose Release To Map To slideout opens.
4. If you want to create a new release based on an existing one, you can use the Search field to search for the existing release, select it, and click Create Release From This Release.

Otherwise, click Create New Release. The Create Release slideout opens.

5. Input mandatory details such as Manufacturer and Product.
6. Click Next.
7. Review the summary and make sure all information is correct. Click Finish.
8. In the Choose Release To Map To slideout, click Cancel so that the newly created release is not linked to any evidence but only exists in your Private Catalog.

 

Creating a Release in the Private Catalog from the Private Catalog Releases Page

You can directly create a custom release in your Private Catalog and map your evidence to it later. This can be a completely new release or a new release based on an existing release.

To create a custom release in the Private Catalog:

1. Go to the Private Catalog Releases page (Applications & Evidence > IT Visibility Software > Private Catalog Releases).
2. Click Create New Release. The Create Release slideout opens.
3. Input mandatory details such as Manufacturer and Product.
4. Click Next.
5. Review the summary and make sure all information is correct. Click Finish.

 

To create a custom release in the Private Catalog from an existing release:

1. Go to the Private Catalog Releases page (Applications & Evidence > IT Visibility Software > Private Catalog Releases).
2. Click action menu for the existing private releases displayed from which you want to create a new release. Then, click Create Release From This Release. The Create Release slideout opens.
3. Values for information, such as Manufacturer, Product Family, Product, Category and Sub-Category of the private catalog release from which the new release being created, are automatically filled in the Create Release slideout.
4. Input required details.
5. Click Next.
6. Review the summary and make sure all information is correct. Click Finish.

 

Creating a Release in the Private Catalog from the Private Catalog Release Detail Page

You can directly create a custom release from an existing release in the detail page and map your evidence to it later.

To create a custom release in the Private Catalog from an existing release:

1. Go to the Private Catalog Releases page (Applications & Evidence > IT Visibility Software > Private Catalog Releases).
2. Click any Release name. The <Release Name> Detail page opens
3. The button Create Release From This Release is displayed next to the Delete button.
4. Click Create Release From This Release. The Create Release slideout opens.
5. Values for information, such as Manufacturer, Product Family, Product, Category and Sub-Category of the private catalog release from which the new release being created, are automatically filled in the Create Release slideout.
6. Input required details.
7. Click Next.
8. Review the summary and make sure all information is correct. Click Finish.

Note:The options available in the Category and Sub-category dropdowns will be populated from Technopedia and the existing private releases for the organization. You can also create new categories and corresponding sub-categories.

 

Creating Mapping Between Evidence and Releases

You can create a mapping link between a piece of unrecognized evidence and an existing release of your choice, in either the global Technopedia catalog or your Private Catalog.

To create a mapping:

1. Go to one of the following pages:
Software Evidence page (Applications & Evidence > IT Visibility Software > Software Evidence).
Private Catalog Evidence page (Applications & Evidence > IT Visibility Software > Private Catalog Evidence).
2. Search for the evidence that you want to create the mapping for.
3. Click the evidence name. The <Software> Evidence Detail page opens.
4. On the <Software> Evidence Detail page, go to the Mapping tab, find the Private Mapping Configuration section, and click Add Mapping.
5. In the Choose Release To Map slideout, search for the release that you want to link the evidence to. It can be a release from the global Technopedia catalog or a release created by your organization in your Private Catalog.
6. Select the release, and click Save Mapping.

Modifying Mapping Between Evidence and Releases

You can modify the link between the evidence and its mapped release in either the Technopedia catalog or the Private Catalog.

Note:If you modify the mapped release from an item in the Technopedia catalog to an item in the Private Catalog, and you choose to delete the new mapping later, the original mapping to the Technopedia catalog will be recovered.

To modify an existing mapping:

1. Go to one of the following pages:
Software Evidence page (Applications & Evidence > IT Visibility Software > Software Evidence).
Private Catalog Evidence page (Applications & Evidence > IT Visibility Software > Private Catalog Evidence).
2. Search for the evidence that you want to modify the link for.
3. Click the evidence name. The <Software> Evidence Detail page opens.
4. On the <Software> Evidence Detail page, go to the Mapping tab, find the Private Mapping Configuration section, and click Change Mapping.
5. In the Choose Release To Map slideout, search for the new release that you want to link the evidence to. It can be a release from the global Technopedia catalog or a release created by your organization in the Private Catalog.
6. Select the release, and click Save Mapping.

Removing Mapping Between Evidence and Releases in the Private Catalog

You can remove the link that you created between the evidence and its mapped release in the Private Catalog. Mapping for the evidence will be managed by the global Technopedia catalog.

Tip:If you delete the link for a piece of evidence that used to map to a release in the global Technopedia catalog, that original mapping to the Technopedia catalog will be recovered.

To remove an existing mapping to the Private Catalog:

1. Go to one of the following pages:
Software Evidence page (Applications & Evidence > IT Visibility Software > Software Evidence).
Private Catalog Evidence page (Applications & Evidence > IT Visibility Software > Private Catalog Evidence).
2. Search for the evidence that you want to remove the link for.
3. Click the evidence name. The <Software> Evidence Detail page opens.
4. On the <Software> Evidence Detail page, go to the Mapping tab, find the Private Mapping Configuration section, and click Remove Private Catalog Mapping.
5. Click Remove to confirm the operation.

Viewing Catalog Mapping

You can view and identify which evidence is mapped to the global Technopedia catalog and which is mapped to the Private Catalog created by your organization.

To view the mapped source of the evidence:

1. Go to one of the following pages:
Software Evidence page (Applications & Evidence > IT Visibility Software > Software Evidence).
Private Catalog Evidence page (Applications & Evidence > IT Visibility Software > Private Catalog Evidence).
2. Search for the evidence that you want to view the mapping for.
3. Click the evidence name. The <Software> Evidence Detail page opens.
4. On the <Software> Evidence Detail page, go to the Mapping tab.
5. To view the source that the evidence is currently mapped to, check the Source column in the Current Mapping section. The column displays either “Technopedia” (indicating the global Technopedia catalog) or “Private” (indicating the Private Catalog).

To view the source that the evidence is configured to be mapped to after the next normalization, check the Source column in the Private Mapping Configuration section. The column displays either “Technopedia” (indicating the global Technopedia catalog) or “Local” (indicating the Private Catalog).

Viewing Software Evidence by Type

You can view software evidence according to the evidence types, such as unrecognized evidence, irrelevant evidence, evidence mapped to the Private Catalog, evidence mapped to the global Technopedia catalog, and all evidence.

To view the software evidence by type:

1. Go to the Private Catalog Evidence page (Applications & Evidence > IT Visibility Software > Private Catalog Evidence). In the Software Evidence Mapping section, you can see the counts for the following software evidence types:
All—All evidence.
Unrecognized—Evidence that has not been mapped to the global Technopedia catalog or the Private Catalog.
Irrelevant—Evidence that has been recognized as not having any value to the customer.
Private Catalog Mapped—Evidence that has been mapped to the Private Catalog.
Technopedia Mapped—Evidence that has been mapped to the global Technopedia catalog.
2. Select an evidence type that you want to view. You can see a page displaying various properties for the selected evidence type.

The following table lists all the available properties. Some properties are displayed by default and others can be displayed through the column chooser. To open the column chooser, click the Columns button. You can also export all these details in the CSV format by clicking the Export CSV button.

Property

Description

Evidence Manufacturer

The manufacturer name of the software as reported by the evidence.

Evidence Name

The display name of the software as reported by the evidence.

Evidence Version

The version of the software as reported by the evidence.

Reported Counts

The reported count of the evidence (that is, the information collected from a system to detect the existence of the software).

Last Found

The date and time when the evidence was last found.

Product

The product name of the software as reported by the evidence.

Note:This property is only available on the Private Catalog Mapped page and the Technopedia Mapped page.

Release Name

The release name of the software as reported by the evidence.

Note:This property is only available on the Private Catalog Mapped page and the Technopedia Mapped page.

Manufacturer

The manufacturer name of the software as reported by the evidence.

Note:This property is only available on the Private Catalog Mapped page and the Technopedia Mapped page.

Technopedia Product ID

The Technopedia unique identifier for the application, if applicable.

Note:This property is only available on the Private Catalog Mapped page, the Technopedia Mapped page, and the All page.

Technopedia Release ID

The Technopedia unique identifier for the application, if applicable.

Note:This property is only available on the Private Catalog Mapped page, the Technopedia Mapped page, and the All page.

Technopedia Manufacturer

The manufacturer name of the software as provided in Technopedia.

Note:This property is only available on the Technopedia Mapped page and the All page.

Technopedia Name

The display name of the software as provided in Technopedia.

Note:This property is only available on the Technopedia Mapped page and the All page.

Technopedia Version

The version of the software as provided in Technopedia.

Note:This property is only available on the Technopedia Mapped page and the All page.

Recognition Status

The recognition status of the evidence. This field can have one of the following values:

Active—Indicates that the evidence has been recognized and mapped in Technopedia.
Irrelevant—Indicates that the evidence has been recognized as not having any value to the customer. The reason why the evidence has been recognized as irrelevant is provided in the Irrelevant Reason column.
Unrecognized—Indicates that the evidence has not been mapped in Technopedia. Flexera curates unrecognized evidence based on whether it is useful for recognition. Details on this gap-fill process can be found in the Flexera Community.

Irrelevant Reason

Explanation for why an evidence has been marked as Irrelevant in its recognition status.

Note:This property is only available on the Irrelevant page and the All page.

Is Private

Indicates whether the evidence is mapped to the Private Catalog.

Note:This property is only available on the All page.

Data Source(s)

The data source(s) that the evidence was found by.

Note:This property is NOT available on the All page.

Viewing Private Catalog Release Details

You can view the details of the release such as the release name, manufacturer name, version, category, mapped evidence, and other related information in the Private Catalog.

To view your Private Catalog release details:

1. Go to the IT Visibility Private Catalog Releases page (Applications & Evidence > IT Visibility Software > Private Catalog Releases).
2. Use the filter controls to search for the release that you want to view the details for.
3. Click the release name. The <Private Catalog Release> Detail page opens, displaying the details of the release.

Viewing Evidence Details for a Private Catalog Release

You can view the evidence details such as evidence manufacturer, evidence name, and other related information for your Private Catalog release.

To view the evidence details for your Private Catalog release:

1. Go to the IT Visibility Private Catalog Releases page (Applications & Evidence > IT Visibility Software > Private Catalog Releases).
2. Use the filter controls to search for the release that you want to view the evidence details for.
3. Click the release name. The <Private Catalog Release> Detail page opens, displaying the details of the release.
4. On the <Private Catalog Release> Detail page, go to the Evidence tab.

Note:If there is no evidence mapped to this release, you can manually map the evidence by clicking the Software Evidence link. For more information about mapping evidence, see Creating Mapping Between Evidence and Releases.

5. To view additional evidence details (such as type, data source, and last found date) for a specific piece of evidence, click the evidence name. The <Software> Evidence Detail page opens.

Modifying Private Catalog Release Details

You can modify the details of your Private Catalog release, including manufacturer name, version, category, and more.

To modify the details of your Private Catalog release:

1. Go to the IT Visibility Private Catalog Releases page (Applications & Evidence > IT Visibility Software > Private Catalog Releases).
2. Use the filter controls to search for the release that you want to modify the details for.
3. Click the release name. The <Private Catalog Release> Detail page opens, displaying the details of the release.
4. Click Edit. The Edit Release slideout opens.

Note:You cannot modify the following fields: Release Name, Mapped Evidence, and Technopedia ID.

5. Update the fields as required, and click Save.

Deleting a Private Catalog Release

You can delete a custom release in your Private Catalog. These releases are not automatically deleted.

Important:If you delete the Private Catalog release, any evidence mapped to the release reverts to its original mapping. It takes up to 24 hours for the status of the mapped evidence to be updated.

To delete a Private Catalog release:

1. Go to the IT Visibility Private Catalog Releases page (Applications & Evidence > IT Visibility Software > Private Catalog Releases).
2. Use the filter controls to search for the release that you want to delete.
3. Click the release name. The <Private Catalog Release> Detail page opens, displaying the details of the release.
4. Click Delete. The Delete Release dialog box opens, asking you to confirm if you want to delete the release.
5. Click Delete. The release is deleted.
