The simple filter is a quick way to reduce the number of rows showing in a list,
letting you focus on the items you want.
The simple filter control sits at the top left of each listing, immediately under the
page title. Some listing pages have default filters applied to them (for example,
Under-Consumed Licenses), while other pages are
unfiltered (for example,
All Licenses). The control shows:
- Any current setting(s) applied to the filter engine, whether using the
simple filter controls or any of the alternatives
- An Add filter control, where you can extend a filter
with additional rules (or create a new filter with its first rule).
Tip: If the current list is the result of a database search, the
search terms are also displayed in the simple filter control. This helps you see
all the restrictions on your available data in the one place.
To manage simple filters:
-
In the simple filter area (beneath the page title), click Add
filter.
A default rule editor appears, showing two places where you can
Select a value. The first of these (on the
left) is to choose a column from the list to test with your filter, and the
second is to set the value to use in the test. There is also a large
X icon if you wish to cancel this
process.
-
On the left side, choose a column from the options provided.
The simple filter displays only a subset of the columns available in the main
list on this page (the ones where you can pick from a list of possible values).
To use other columns in your filter, use either the header filter or the
advanced filter (see
Using the Header Filter
or
Creating an Advanced Filter).
Tip: Some columns where you might enter text in other places are
presented here as a list of choices. For example, in lists of licenses, the
Publisher column is available in the simple
filter, and you can only pick from the list of publishers already available
in the unfiltered list of licenses you are looking at.
-
On the right end of the simple filter control, select one or more of the
approved values for your chosen column. (Multiple values are treated as
logical-OR choices, equivalent to "any of".)
Tip: In addition to the list of normal values, look out for
Is empty to find rows in your list where
your chosen column is blank.
Note: If there are more than 50 choices available,
only the 'top 50' are shown. The top 50 are the values that appear most
often. For example, if you are filtering for
Publishers in the list of All
Applications, only the 50 publishers with the largest number
of applications are shown. Whenever any possible values have been omitted
from the options, an additional option Other is
available at the end of the drop-down list. This selects all the values not
present in the drop-down list.
When you have made at least one choice,
a blue check (tick) icon appears at the right of the simple filter control.
-
When satisfied with your selection(s), click the blue check icon to apply your
filter.
The list is shortened, showing only the rows that match your filter so
far. The current setting is shown in the simple filter control in a gray box,
with a X icon on its right end. You can clear this
individual filter rule by clicking the X
icon.
-
You may add other columns to your filter for more complex situations. Simply
click Add filter again and repeat the process as often as
required.
All rules in the simple filter are processed as a logical AND, and must all be
satisfied for records to be displayed in the list. Each filter rule is shown in
its own gray box, and can be removed individually.
Tip: You cannot
re-open a simple filter rule to change the values. Instead, delete
(
X) the rule, and re-create it. You cannot
specify wildcards with simple filters. To use wildcards, use the header
filter (see
Using the Header Filter) or create an advanced
filter. For more information, see
Creating an Advanced Filter
Example
Your manager says, "How many licenses do we have for our big three publishers where
we are not compliant?" Because the simple filter does not have settings for "Is
not", you choose all the other values except
Compliant
for your filter.
