Exporting a List
IT Asset Management (Cloud)
Lists in the management view, configured to your taste, can be exported in several formats.
You may wish to export a list in the web interface for IT Asset Managementfor distribution to other people, for printing, or for additional
work. Lists can be exported to the following formats:
- A plain text file of comma-separated values (.csv). These can be imported by many spreadsheet and other products.
- PDF file (.pdf). These can be viewed in Adobe Reader, Apple Preview, and many other PDF readers and editors.
- Rich text format (.rtf). These can be opened and edited in many word processors, including Microsoft Word. There are some RTF-capable editors that do not support all the RTF features used in .rtf files exported from IT Asset Management.
- Excel (.xlsx)
- Use a search to focus the data set returned from the database (see Searching in Lists)
- Add filters (using any of the simple filter, the header filter, or the advanced filter controls) to further limit the results to exactly those you require (the search and filter settings are shown at the top of exported PDF and RTF documents, to help you understand the data set in the document) (see Using Filters to Limit Data Size)
- Sort the data in your preferred order down the list
- Arrange columns in your preferred left-to-right order, showing or hiding your columns of choice using the column chooser.
Attention: When exporting data to .csv format, potentially malicious
characters that appear first in a field value are escaped with a leading single
quote. For example, when exporting the following text field
@hello=there, after export, the text field will read
'@hello=there in the .csv output. The following
characters are deemed potentially malicious: =,
+, - and @,
and will only be escaped if they appear as the first character in the field
value.
The only difference between the on-screen list and the exported document is the
pagination. That is, where the web interface may show (say) 20 lines at
a time, the exported document contains all the rows from all on-screen pages,
the full data set matching your search and filter conditions.
Tip: If you
do not get the results you expect, make sure you are the only person using your
login account, and that you are working in only one browser window/tab for this
list. Since the export uses the most recent settings made by each
operator account (regardless of the browser tab or browser window), you might
get confused if you have two tabs working on the same list.
