Licenses Tab

The Licenses tab shows all licenses associated with that particular SaaS application and includes information such as administrator, license type, license effective date, license ending date, license type cost amount, number of items allowed, and payment frequency.

The Licenses tab is divided into the following subtabs:

License Details
Miscellaneous Fees (for details, refer to Adding Miscellaneous Fees)
Documents (for details, refer to Uploading License Documents)

To add new licenses or to add another license type to an existing license, refer to Entering SaaS License Types.

License Details

Information entered in the License Details tab populates the SaaS license information throughout SaaS Management in terms of annual spend, license type, number of licenses, number of items or users allowed, and license effective and ending dates.

You can navigate to the License Details tab using one of the methods below.

In the Managed SaaS Applications screen, click Add Application. In the Add Application screen, complete step 1. Select App, and then select step 2. Add Product License.
In the Managed SaaS Applications screen, click the application name of an application already listed in the Application column, and then click the Licenses tab.
In the All SaaS Licenses screen, click the application name, and then complete the Licenses Details tab.

License Details Field Explanations

The table below explains the following License Details fields.

Show Inactive

Slide the button to the right to display inactive license information.

License Name

Enter the name for tracking the license details. For example, you may wish to include the contract name.

Application

After Adding an Application, the prestored application name from the SaaS Management Managed SaaS Applications is populated.

Notes

Enter any necessary notes for this license.

Administrator

Enter the email address of the license’s point of contact or Application Owner.

Add License Type for Tracking

Selecting a particular license type from this pull-down menu populates the license’s Name field.

Note:This pull-down menu option is only available for SaaS applications with direct integrations that support license differentiation. For a list of applications that support license differentiation, refer to the License Differentiation column in the Application Task Tracking chart.

Important:Each license type for tracking can be used only once. Once a particular license type expires and your organization has a new contract, override the expired license type information with the current license type information.

License Type

Select the appropriate option from the pull-down menu.

Per User
Per Login
Per Node/Transaction
Per Location
Per Organization

Name

The source for the license name is either the:

Technopedia catalog
Customer-supplied SKU for SKUs not in the Technopedia catalog

If you are manually entering multiple license types per application, this field can be used for identifying a particular license type (Example: Office 365 (Plan E3) versus Office 365 (Plan E5)).

# of Items Allowed

Enter a value only if the license number is fixed, and you always pay for this many items. Otherwise, click Unlimited.

Amount

Enter the license cost and select the appropriate currency from the pull-down menu.

Payment Frequency

Select the appropriate option from the pull-down menu.

Every 18 Months
Biannually
Triennially

Effective Date

Enter the license’s effective date or use the calendar icon to select the license’s effective date.

Set Effective Date Reminder

When the Set Effective Date Reminder is active and set, an email notification is sent to this license's point of contact X days before the effective date of the license.

Ending Date

Enter the license’s ending date or use the calendar icon to select the license’s ending date.

Set End Date Reminder

When the Set End Date Reminder is active and set, an email notification is sent to this license's point of contact X days before the end date of the license.
